Cancellation & Refund Policy

This policy reflects updated practices and replaces any prior versions.
Our goal is to provide exceptional dental care while respecting the time of our patients and clinical staff. The following policies are designed to ensure fairness, efficiency, and the highest quality of care.
Appointment Scheduling & Cancellation Policy
When an appointment is scheduled, that time is reserved exclusively for you and clinical preparations are made in advance.
Cancellation & Rescheduling
We require a minimum of 24 hours’ advance notice to cancel or reschedule an appointment.
Appointments cancelled or rescheduled with less than 24 hours’ notice may be subject to a fee.
No-Shows & Late Arrivals
Patients arriving more than 15 minutes late may be considered a no-show and may need to be rescheduled.
Repeated no-shows or late cancellations may result in dismissal from the practice.
Fees
A fee of $125 per hour may be assessed for appointments that are cancelled, rescheduled, or missed with less than 24 hours’ notice.
This fee may be assessed regardless of reason.
Outstanding cancellation or no-show fees must be paid in full before future appointments may be scheduled.
Financial Responsibility
All professional fees are due at the time services are rendered, unless prior written arrangements have been made with the practice.
Emergency services must be paid in full at the time of service.
Dental insurance is a contract between the patient and the insurance provider. Submission of claims is a courtesy, and patients remain fully responsible for all fees regardless of insurance coverage.
Treatment estimates are not guarantees and may change due to clinical findings, treatment modifications, or laboratory requirements.
Refund Policy
Dental services involve professional time, customized care, and, in many cases, laboratory-fabricated restorations.
Fees for dental services are final.
Refunds are not provided for completed dental treatment.
Cosmetic and elective dental procedures are performed with informed patient consent and acknowledgment that outcomes and longevity may vary.
Restoration Repair & Replacement
Crowns, veneers, bridges, bonding, and other restorations are subject to normal wear, functional forces, patient habits, and biological factors.
Repair or replacement of restorations, if applicable, is governed by the specific informed consent and treatment agreement signed by the patient.
Coverage periods, if any, vary by procedure and are determined based on clinical findings.
No guarantees are made regarding the longevity of restorations.
Replacement or repair does not apply to failures caused by:
trauma
neglect
bruxism (grinding or clenching)
misuse
failure to follow care instructions
changes in oral or medical conditions
Any replacement beyond the applicable coverage period will be subject to standard professional fees.
Laboratory & Custom Work
Laboratory-fabricated restorations, appliances, and custom dental work involve costs incurred at the time fabrication begins and are non-refundable once initiated, regardless of treatment outcome.
Treatment Modifications & Clinical Judgment
Dentistry is not an exact science. During the course of treatment, unforeseen conditions or complications may arise that require modification of the treatment plan, timing, or procedures. Such changes do not constitute grounds for a refund.
Dismissal from the Practice
Patients who repeatedly fail to attend appointments, cancel without notice, or do not comply with office policies may be dismissed from the practice and advised to seek care elsewhere.
Acknowledgment
By scheduling appointments or receiving care at our practice, patients acknowledge and agree to the policies outlined above, in addition to the terms set forth in any signed informed consent or financial agreement.
